Position: Procurement Assistant- Intern 

Department: Administration

Reports to: Procurement Assistant  

Based: Freetown- Sierra Leone

Background:

Project-EpiC Vaccine Sierra Leone

Meeting Targets and Maintaining Epidemic Control (EpiC) is a five-year global project funded by U.S. Agency for International Development (USAID).  EpiC receives COVID-19 funding to bolster health systems necessary to address COVID-19 and reduce cases of reemergence.

Currently, EpiC and its consortium members implement COVID-19 activities in more than 45 countries worldwide.  The project delivers high-quality technical assistance at the community, facility, district, regional and national levels and builds relationships with relevant partners working to address COVID-19.  

In Sierra Leone, EpiC works hand in hand with Sierra Leone’s Expanded Program on Immunization (EPI) to identify and address gaps that are not currently covered by other partners throughout the country but more especially in the 7 districts that have the lowest COVID-19 vaccine uptake. 

Project- EpiC Malaria

In Sierra Leone, USAID requested that EpiC continue the successful work previously done by the Impact Malaria project in 2018-2023, where investments in the CHW Program in implementing the integrated Community Case Management (iCCM) resulted in equitable access to quality and affordable health care to communities.  

 

In September 2023, EpiC Malaria commenced implementation of CHW activities that were started by Impact Malaria in three USAID focus districts (Pujehun, Kailahun and Falaba). The overall goal of the EpiC-SL Malaria project is to contribute to maintaining and sustaining the CHW Program by addressing the remaining gaps that will contribute significantly to improving the health of the population. EpiC-SL and the Ministry of Health (MOH) have identified intervention areas, including skill-based gaps, increased collaboration in activity implementation, reduced attrition, and maintained commitment by CHWs. EpiC-SL will, therefore, work closely with USAID, MOH, CHW Partners, and other relevant stakeholders to support and sustain the CHW Program.

 

Procurement Assistant-Intern.

PSI Sierra Leone is seeking for an individual to fulfill the experience required to work in future. For qualified, motivated applicants, this position offers exposure to learning and coaching.

 

Because of this, PSI Sierra Leone is seeking an energetic, dynamic, and highly organized applicant for the USAID EpiC Malaria and EpiC Vaccine -funded projects, advancing progress service delivery. 

The Procurement assistant Intern will work under the direct supervision of the Procurement Assistant/ Officer. He/ She should provide Manage moderate complexity health and related commodity procurements for PSI Sierra Leone.

 

Skills and Specifications :

  • Assist the Procurement Assistant with obtaining quotes for purchases and purchasing of items for the projects, negotiate and finalize contracts in accordance with donor requirements and PSI policies.
  • Assist in the purchasing of items requested for the projects and ensure that the process is following PSI Policies and procedures and donors’ rules and regulations.
  • Assist with procurement and management of office supplies.
  • Deliver to staff office supplies requested and ensure that the staff sign for the supplies received.
  • Assist in purchase and deliver office supplies for routine and workshops/trainings needs.
  • Assist with managing of all contracts between PSI and vendors, prompt and accurate transactions.
  • Monitor product delivery timeline, quality testing, and keep the requester informed on progress.  
  • Audit support for internal and external auditors, including donor audits. 

 

Experience Requirements:

  • At least 3-4 years of related support function or administrative experience. Equivalent combination of relevant education and experience may be substituted.
  • Working knowledge of procurement and logistics processes.  
  • Associate’s degree (or international equivalent) in the related field.
  • Strong organizational and multitasking capabilities.
  • Ability to draft international bids and contracts.   
  • Working knowledge of MS Office and related tools.
  • Strong customer service, relationship building/management, and written and verbal communication skills.
  • Experience in similar job advert.
