Position: Office Assistant
Job Location: Country Office, BRAC Sierra Leone
About the Role:
The Office Assistant will provide administrative, logistical, and front desk support to ensure efficient functioning of BRAC SL offices. The role includes managing communications, maintaining records, overseeing office assets, and delivering professional receptionist services.
Key Responsibilities:
- Organize office operations and workflows to improve efficiency.
- Receive, sort, and distribute internal and external communications promptly.
- Manage documentation flow, including filing, photocopying, and archiving.
- Serve as the first point of contact for visitors, clients, and staff.
- Greeting and welcome guests in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls appropriately.
- Maintain a visitor logbook and ensure proper sign-in/sign-out procedures.
- Manage incoming and outgoing mail, parcels, and deliveries.
- Provide accurate information to visitors and callers regarding office services and staff.
- Ensure the reception area is tidy, organized, and presentable always.
- Schedule appointments and coordinate meeting room bookings.
- Assist in handling general inquiries and redirecting them to the appropriate departments.
SAFEGUARDING RESPONSIBILITIES
- Read, understand, practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
- Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.
Academic Qualifications:
- Diploma or bachelor’s degree in business administration or related field.
Required Skills, Competencies & Knowledge:
- Strong communication and interpersonal skills.
- Good organizational and multitasking abilities.
- Basic proficiency in Microsoft Office.
- Professional appearance and customer service attitude.
Experience Requirements:
- 1–2 years of administrative or receptionist experience (NGO experience preferred).
