AIDS Healthcare Foundation (AHF) is an international non- profit NGO based in Los Angeles, California, USA. AHF operates across 50 countries worldwide and has 2.7M+ patients in care, the majority of these being in Africa. AHF Africa comprises 14 country programs. AHF collaborates with the Governments of these countries through Ministries /Departments of Health (MoH) to provide cutting edge medicine and free HIV and AIDS services, including antiretroviral therapy in resource constrained settings.
AHF is registered in Sierra Leone as AHF-Sierra Leone and offers services on HIV/AIDS prevention, treatment, and care services in collaboration with the Government of Sierra Leone and other stakeholders. The organisation now seeks to hire a highly competent, dynamic, and experienced person to fill the position below on a two-year contract of employment.
Administrative Assistant Position
This position is based at the Freetown Office. The Administrative Assistant is responsible for providing financial and administrative support to the assigned region within the country program to ensure that services are provided in an effective and efficient manner.
The holders of these positions will perform among others the following duties
- Prepare requisition forms, payment vouchers and associated supporting documents.
- Maintain a proper filing system and help keep financial and administrative files in a secure area and retrieve them when necessary.
- Photocopy all financial documents before submission to the Accounting Firm.
- Prepare cash Advance register and timely submission of accountabilities to the Accounting Firm.
- Petty cash handling and balancing, making sure cash received and paid out physically matches book cash and ensure safe custody of the fund.
- Reply on basic enquiries about all the services offered.
- Ensure that all office assets/equipment are serviced, insured, and well maintained.
- Maintain a professional customer care approach in interacting with colleagues and vendors.
- Make travel arrangements such as flight reservations, accommodation in a timely manner using established guidelines.
- Record, and take minutes of meetings accurately and circulates them in a timely manner
- Proper filing/documentation of both incoming and outgoing communications.
- Multitask and perform without constant supervision
- Any other duties assigned by your supervisor or Country Program Director.
Required Qualifications, Experience and Competence
- Minimum of Certificate in Accounting, Finance, Business Studies, Secretarial Studies, Business Administration, or part qualification of any professional course in Accounting, CISA etc.
- Experience: Minimum of 3 years working experience with an international NGO or developmental agency.
Communication Skills
- Ability to communicate in English and to speak effectively before groups of people
- Ability to read, analyse, and interpret general business periodicals, professional journals, technical procedures, and government regulations
- Ability to write routine reports.
- Should have strong interpersonal and communication skills both verbal and written.
- Ability to function under dynamic circumstances and proficiency in computer skills
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
- Ability to respond to common inquiries or complaints from customers, regulatory agencies, Ability to write routine reports and correspondences.
Certificates, Licenses, Registrations
- Should be in possession of valid educational certificates,
- And where possible holds a valid driver’s license
Other Skills and Abilities
- Able to travel 30-40% of the time.
- Sensitive to patient population and issues surrounding HIV/AIDS.
- Ability to prioritize tasks in a rapidly changing environment.
- Good command of administrative knowledge and practices.
- Highly developed interpersonal and communication skills including influencing, negotiation, and coaching.
- Experience of solving complex issues through analysis, definition of a clear way forward.
- Dynamic individual with a demonstrated ability to achieve results in a demanding and fast paced environment.
