Programme Delivery/Management

·       Responsible for maintaining and updating key contract management tools such as the project charter, work plan, risk matrix/register, budget and forecast and contract management review tool, as well as ensuring PM compliance

·       Maintain client meeting minute notes and coordinate weekly team meetings with the project team and follow up action items as directed by the Project Director & Team Leader

·       Prepare and coordinate local programme contracts and seek approvals as appropriate

·       Prepare and coordinate any international programme contracts and seek approvals as appropriate

·       Responsible for liaising with HQ support functions to ensure that the programme is capacitated to deliver on time and on budget

·       Provide the Project Director & Team Leader with key analysis on programme spent vs. forecast, utilisation of billable days and escalate in advance any foreseen delays/challenging that might impact them

·       Work closely with the Grants and Finance Manager and the Country IO Finance team to ensure that payments are made to suppliers and contractors on time. Flag up risks and issues in a timely manner to the Site Director/Team Leader.

·       Ensure that staff timesheets and consultant invoices are reviewed, approved and submitted on time in line with procedures.

·       Support the recruitment and mobilisation of any staff, consultants or Crown Agents leadership supporting the programme.

·       Responsible for programme reporting including coordinating all inputs into programmatic and financial reports ensuring a high quality standard

·       Coordinate and track regular monitoring and evaluation data indicators as presented from partners working closely with the MEL manager

·       Weekly updates to project delivery RAG report

·       Provide regular impact statements and VFM Analysis

·       Support the annual budgeting process acting as a liaison between the client, programme and Crown Agents corporate commercial team

·       Support the Site Director/Team Leader with build out opportunities ensuring that they follow corporate processes including approvals on the budgets, technical approaches and when necessary setting up of new project codes.

·       Support the Project Accountant on monthly, quarterly financial reviews on the programme

·       Support any audit requirements (internal and external) are carried out in line with requirements

 

Coordination and Implementing Partner Management

·       Support the Site Director to Coordinate meetings between partners and the program office

•     Support the Deputy Site Director to schedule and coordinate weekly and monthly team lead meetings ensuring they are delivered in a timely, efficient and inclusive manner

•     Represent at MOHS and other Government meetings in the absence of the Site Director

•    Support the Team Lead/ Site Director to manage stakeholders at the district and national levels, in coordination with the Finance and Grants Manager (budget issues) and the Deputy Site Director (delivery issues), as appropriate.

·       Support negotiations and administrative processes needed for core activities in project locations in addition to any future expansion of scope or addition of new site for operations.

 

Raising Organisation’s profile

·       Contribute and lead as appropriate the production of communications and externally facing products, such as learning briefs, publications etc, and participate in “communities of practice” to remain abreast of latest developments, standards, tools, and methodologies within the sector.

·       Establish and maintain close relationships and effective networks with our clients, partners and consultants, contributing to the marketing activities of the organisation and representing at a senior level to the external world.

·       Act as a resource to provide support on external relations, stakeholder engagement, external and internal comms, technical briefs, any other business.

 

Safeguarding

·       Be aware of and compliant with all the standards following Safeguarding procedures and policies. Promote speak up culture to protect the welfare of children, young people and vulnerable adults

·       Act as the primary liaison between the programme and organisation’s safeguarding committee

 

General

·       Be aware of and adhere to company quality standards and procedures in accordance with Organisation’s commitment to working to the highest quality standards and striving for continual improvement

·       Undertake international and national travel on consultancy and research assignments as may be needed

·       undertake all procurement in compliance with Good Distribution Practice (GDP) in accordance with the provisions of our Wholesale Distribution Authorisation (Human) (WDA (H)) issued by the Medicines and Healthcare Products Regulatory Agency (MHRA) and our United Kingdom Controlled Drug Licence issued by the Home Office

·       ensure that all procurement is carried out using the relevant corporate IT system(s) in operation
