Administrative and Human Resources Officer

The Conservation Society of Sierra Leone (CSSL) is a national non-governmental organization dedicated to biodiversity conservation and sustainable natural resource management. CSSL works with local communities, government institutions, and international partners to promote environmental protection and sustainable livelihoods.

CSSL is seeking a qualified and motivated individual to fill the position of:

 

Administrative and Human Resources Officer

Duty Station: Freetown, Sierra Leone
Contract Type: Full-time
Duration: 1 year, renewable based on performance and funding

 

Key Responsibilities

Human Resources Functions:

  • Support recruitment processes including drafting job adverts, shortlisting, and coordinating interviews 
  • Maintain and update staff records and HR databases 
  • Prepare standard employment contract
  • Administer staff contracts, leave, and performance management processes
  • Continuously review and adapt existing standard job description
  • Keep track of country legislation concerning compensation and benefit issues and identify need for adjustment  
  • Ensure compliance with CSSL HR policies and labor regulations 
  • Support staff development and training initiatives 
  • Document conditions for benefits to be paid and report the need for adjustment

 

Administrative Functions:

  • Oversee office administration and ensure smooth day-to-day operations 
  • Manage office supplies, assets, and inventory 
  • Coordinate logistics for meetings, workshops, and field activities 
  • Support procurement processes in line with CSSL and donor guidelines 
  • Ensure proper filing (physical and electronic) of organizational documents 
  • Coordinate and maintain the CSSL membership database
  • Support the collection and tracking of membership fees

Compliance and Licensing:

  • Ensure CSSL operational license and registration are up to date with relevant bodies, including Sierra Leone Association of Non-Governmental Organizations, Ministry of Planning and Economic Development, and the relevant City Council 
  • Monitor and facilitate timely renewal of all statutory registrations and permits 
  • Ensure licenses and registrations for CSSL vehicles and motorbikes are current and compliant with national regulations

Qualifications and Experience

  • Bachelor’s degree in Human Resource Management, Business Administration, or a related field 
  • Minimum of 5 years relevant experience in HR and administration 
  • Strong knowledge of HR practices and Sierra Leone labor laws 
  • Experience working with NGOs and donor-funded projects is an advantage 
  • Proficiency in Microsoft Office applications 
  • Strong organizational, communication, and interpersonal skills
