A reputable Agency is looking to recruit a highly dedicated and committed employee to serve in the capacity of Administrative Officer. 

Required General Skills:

  • Proven experience as an Administrative Officer, 
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Should hold a degree; in Arts or Social Sciences

Responsibilities

 

Key Duties & Responsibilities

 

Administrative & Office Management

  • Oversee day-to-day administrative operations of the Regional Office
  • Maintain official records, files, and databases in accordance with institutional and ISO documentation requirements
  • Manage correspondence with headquarters, government departments, industries, and stakeholders
  • Coordinate office logistics, travel arrangements, and asset management

 

Human Resources & Staff Support

  • Maintain attendance, leave, and service records of regional staff
  • Support recruitment, onboarding, and training coordination as per HQ guidelines
  • Facilitate staff performance documentation and compliance with service rules

 

Financial & Procurement Support

  • Assist in budget preparation, monitoring, and expenditure control
  • Process bills, invoices, TA/DA claims, and procurement documentation
  • Coordinate with approved vendors and ensure adherence to procurement norms

 

Compliance & Quality Systems

  • Ensure compliance with institutional policies, government rules, and audit requirements
  • Support implementation and maintenance of Quality Management Systems (e.g., ISO/IEC 17025, 17020, 17065, ISO 9001 as applicable)
  • Assist during internal and external audits and inspections

 

Coordination & Reporting

  • Coordinate regional activities related to standards dissemination, inspections, testing, certification, and outreach programs
  • Prepare periodic administrative and operational reports for Headquarters
  • Organize meetings, workshops, and stakeholder interactions

 

Facilities & Asset Management

  • Oversee maintenance of office premises, laboratories (where applicable), vehicles, and equipment
  • Ensure safety, security, and proper utilization of institutional assets
