CONTEXT AND PROJECTS OF GERES IN SIERRA LEONE
In West Africa, Geres implements projects in Benin, Togo, Mali, Senegal (through a partnership), and more recently, in Sierra Leone. In Mali, Geres developed a model of Energy Business Areas (EBAs), which the organization now aims to adapt and replicate in the Sierra Leonean context. Indeed, Sierra Leone is a new country of intervention for Geres, with activities started in April 2025. The initial project, funded by the French Development Agency (AFD), will run for four years and aims to provide clean energy through solar mini-grids to productive users in rural areas. The goal is to boost productivity and ultimately increase incomes, while reducing environmental and climate impacts through solar energy. The project specifically targets women and farmers involved in agricultural processing, who will also benefit from a tailored business support package to help them manage and grow their enterprises.
Over the course of the project, Geres plans to establish three Energy Business Areas (EBAs), provide technical assistance to national mini-grid operators, and support a total of 75 entrepreneurs—both within the EBAs and through individual solar kits. Beyond individual benefits, EBAs aim to introduce new quality services in underserved rural communities, driving local economic development.
For this first project, the Geres team in Sierra Leone is expected to grow to around 20 staff members. While the national office will be based in Freetown, the majority of activities will take place in rural areas across the country.
MISSION AND OBJECTIVES OF THE POSITION
The Cashier & Secretary at GERES Sierra Leone assists the Deputy Finance/Administrative/Human Resources (FAH) Manager with the administrative and accounting oversight of the projects, particularly with cash handling and document processing.
Implements the rules, guidelines and procedure of the West African process manual related to his/her position.
LOCATION
The Cashier & Secretary is based in Freetown, at the GERES offices. He/She may be required to carry out field visits within the project intervention zones.

Direct supervisor: Deputy Fi/Admin/HR (FAH) Manager
Functional link: Operations Support Manager, Country Representative, Deputy Logistics Manager, Deputy Thematic Managers
JOB RESPONSIBILITIES AND ACTIVITIES
- Cash follow-up and accounting
Maintain the petty cash under his/her responsibility with accuracy and professionalism, in accordance with internal procedures (cashbook, advance register, etc.).
Is responsible for the petty cash, ensuring the security of the funds and replenishing the cashbox as needed. The cashier must be able to justify the cash balance at any time, with relevant supporting documents and records.
Participate in regular cash counts, at least at the end of each month.
Ensure proper budget coding and allocation of expenses and supporting documents. Participate in supplier payments made in cash or by cheque.
Ensure that each receipt is accompanied by all required supporting documents and trains staff receiving cash advances on the compliance of accounting documentation. Ensures the transmission, filing, archiving, and reliability of financial and accounting records under his/her responsibility.
Maintain a daily register of issued cheques and assists the Deputy FAH Manager that all related bank documents are organized and filed appropriately.
- Administrative activities
Assist in managing, monitoring, and archiving (both electronic and physical) of contracts, agreements, permits, and other administrative documents (leases, insurance, phone and internet contracts, etc.).
Contribute to providing the team with support documents relating to internal procedures (forms and templates).
Perform administrative and accounting photocopying and scanning tasks. Help to keep one folder (physical or on a Drive) with the copy of all the NRA & NASSIT payments
- Human Resources activities
Contribute to updating staff time and leave tracking (paper and digital).
Help update dashboards (movement planning, contact lists, etc.).
Assist with the tracking and archiving of Human Resources records
Guide team members on administrative and financial procedures.
- Reception and Secretariat
Handle incoming mail and ensures proper archiving.
Welcome visitors and manages communication with administrative stakeholders (phone, etc.).
The Cashier & Secretary may also perform any other tasks related to their skills as assigned by their supervisor.
CANDIDATE PROFILE
EDUCATION / EXPERIENCE
Bachelor’s degree in Administration or Accounting.
At least 2 years of proven experience in a similar position.
Prior experience working with an international NGO in a similar role is desirable.
SKILLS AND COMPETENCIES:
Proficient in office software (Word, Excel, Outlook, etc.).
Mastery of cash management techniques and rules.
Strong administrative management skills.

CONDITIONS AND APPLICATION
Status: Sierra Leonese fixed-term contract;
Remuneration: Category C1 or C2 on internal Geres Sierra Leone salary grid, depending on profile;
Contract duration: 12 months (renewable subject to satisfactory results); Desired starting date: 18th of August 2025;
