General Mission

Under the supervision of the National Logistician, the Logistics Assistant is
responsible for the daily coordination of fleet, stock, and office operations. A
key focus is the rigorous monitoring of vehicle usage, compliance, and archiving
to ensure operational efficiency and transparency.

Therapeutic Solidarity and Initiatives for Health (SOLTHIS) is an international health NGO

dedicated to strengthening health systems and improving access to quality care in resource-
limited settings and vulnerable populations. Operating in Sierra Leone since 2011, SOLTHIS

provides technical support at national, community, and health facility levels, focusing on HIV,
TB, MPox and Sexual and Reproductive Health care quality. The organization has its main
office in Freetown and a field office in Bo, currently implementing three key projects.

SPECIFIC TASKS AND RESPONSIBILITIES
1. Fleet & transport management
• Conduct daily fleet inspections, ensuring vehicle cleanliness, safety compliance, and
sufficient fuel levels.
• Verify and initial driver logbooks daily, and scan/upload logs to SharePoint weekly.
• Verify daily logbooks for completeness; report anomalies to National Logistician
promptly.
• Maintain a Compliance Tracker for vehicle insurance, licenses, and driver permits. Alert
the National Logistician 30 days prior to expiration.
• Coordinate driver schedules, manage rental services, and review overtime claims
against logbook data.
• Monitor fuel consumption, track fuel stock levels, and support procurement processes
to avoid service disruptions
• Inform the National Logistician immediately of any vehicle or facility breakdown.
2. Supply chain & inventory management
• Implement and manage a First-In, First-Out (FIFO)/Last In, First Out (LIFO) systems
for consumables and supplies.
• Maintain and reconcile physical stock cards with digital inventory on a weekly basis.
• Collect vendor quotations in line with procurement policy. Support delivery of
documentation while ensuring procurement transparency and separation of duties.
3. Operational & administrative support
• Coordinate logistics for events and workshops including venue booking, catering, and
accommodation.
• Prepare Mission Orders and manage check-in communications for field staff.
• Act as the primary contact for utility providers, ensuring timely resolution of issues
(electricity, water, internet, ACs).
• Follow up with vendors to retrieve missing receipts and invoices in support of the
Finance Team.
• Support the National Logistician in creating a local supplier database by collect
standardized information for each supplier
• Ensure timely and quality facility repairs in coordination with approved suppliers, and
tracking of repair completion

4. Archiving & compliance
• Ensure consistent and timely scanning and digital filing of all logistics documentation,
using standardized naming conventions on SharePoint.
• Scan and file logistics documents per naming convention; flag missing/incomplete files
for supervisor validation.Maintain the logistics SharePoint folder, ensuring all files
(contracts, reports, receipts) are complete and current.
• Conduct monthly self-audits to maintain audit readiness and compliance with data
retention policies.

Education & experience
• Education: Bachelor’s Degree in Logistics, Supply Chain Management,
or Business Administration.
• Experience: Minimum 3 years of experience in logistics, fleet
management, or a similar administrative role.
• Licensing: Valid driver’s license (Category B minimum).
Know-How (Technical Skills)
• Operations: Strong knowledge of logistics, fleet management, and
Sierra Leone Road Safety Rules.
• IT Proficiency: Advanced skills in MS Excel (for tracking), Outlook,
and SharePoint.
• Reporting: Proven ability to analyze vehicle data (fuel/mileage) and
write clear concise reports.
• Compliance: Knowledge of basic vehicle maintenance and
procurement tracking.
Know-How to Be (Soft Skills)

• Rigour: Highly detail-oriented with a focus on accuracy in record-
keeping and archiving.

• Anticipation: Proactive in identifying risks, tracking deadlines
(renewals), and planning contingencies.
• Communication: Excellent verbal and written English; ability to
communicate clearly with vendors and staff.
• Efficiency: Capable of managing multiple tasks independently under
tight deadlines.
