Hospital Project Coordinator 

Freetown 

Welbodi Partnership is a UK-registered charity working to reduce maternal and child mortality and morbidity in Sierra Leone. For over 15 years, Welbodi Partnership has maintained a strong technical, operational, strategic, funding, logistical and cross-learning partnership with Ola During Children’s Hospital (ODCH), Sierra Leone’s national referral hospital for paediatric care. The partnership has supported health systems strengthening, nurse and health worker capacity building, quality improvement and the development of specialized paediatric services, particularly oncology. Welbodi has recently extended this partnership to the Julius Maada Bio Paediatric Centre of Excellence (JMB-PCE), with the next phase focused on consolidating gains at ODCH while strengthening JMB-PCE’s capacity, systems and quality of care, including expanding paediatric oncology services from ODCH to JMB-PCE to improve access to timely diagnosis, treatment and supportive care for children with cancer.

The programme has, and continues to, strengthen capacity at ODCH and JMB-PCE through bedside mentorship, referrals, knowledge sharing and cross-learning, contributing to reduced preventable child morbidity and mortality and improved outcomes for children. Welbodi Partnership also leverages on continuous research and learning to generate evidence that contributes to strengthening clinical practice and programme implementation through research design, data collection and analysis, dissemination of findings, and translation of evidence into service improvements and policy. Together, these efforts will support a sustainable network of high-quality health care services across Sierra Leone.

Job Identification

 

Job Title: Project Coordinator  

Location: Freetown, with possible travels to project sites 

Reporting line: The Project Coordinator will report to the Head of Programmes 

Contract Type and Length: Regular; with an initial 6-month contract, and possibility of extension subject to satisfactory performance and availability of funds.

 

Department / Project: Department of Programs. Holistic Oncology Programme for Every-child (HOPE), Partnership for Capacity Strengthening (PCS) and Sharing and Integrating Essential Reproductive Health Services for Resilient Access to Family Planning (SIERRA).

 

  

  • Purpose of The Role

 

The role provides technical leadership and quality assurance across Welbodi Partnership’s hospital projects, ensuring that clinical services, training, childhood cancer care, research, and hospital initiatives are delivered to high-quality standards and aligned with organizational and national priorities. It supports hospital leadership, clinical teams, and project staff to strengthen systems, build staff capacity, improve quality of care, and effectively manage resources and partnerships. The role is responsible for ensuring effective project delivery, generating and using reliable evidence, and translating research and learning into improved clinical practice, hospital performance, and evidence-based decision-making.

  • Key Relationships 

 

This role works closely with Welbodi Partnership senior management, programmes, HR, finance and operations teams, as well as hospital leadership and staff across ODCH and JMB-PCE. Externally, the role engages with the Ministry of Health especially the RCH directorate, DHMTs, donors (WCC, Cardiff & Vale, JICA, UNFPA, etc.) , research partners, technical partners, professional bodies and other health-sector stakeholders to strengthen clinical quality, project delivery, research, capacity building and evidence-based decision-making.

  • Working Conditions 

 

The role is full-time and primarily based at the head office with frequent visits to supported hospitals (ODCH & JMB-PCE Hospitals), with occasional travels to the provinces (as needed). 

  • Key Responsibilities 

 

The Project Coordinator will work under the oversight of the WP’s Head of Programmes and will have the following specific responsibilities. 

 

Roles and responsibilities

  • Provide technical support in the planning, implementation, reporting and financial management of assigned projects. 
  • Support the review of hospital strategic plans including tracking implementation progress as per the plans.
  • Provide oversight for direct reports to ensure high quality delivery of projects.
  • Oversee the development and deployment of mentorship and preceptor-ship frameworks for nurses and ancillary health workers training and embedding the same into context. 
  • Collaborate with deployed WP staff and relevant clinical staff to develop and update standard operating procedures for intervention hospitals. 
  • Collaborate with the M&E manager to improve documentation and reporting across all assigned projects, utilize facility-based data to evaluate and improve projects and health outcomes.
  • Ensure standardization of technical delivery approaches according to best practices; and provide relevant capacity strengthening support based on identified needs.
  • Prepare and submit high-quality narrative reports for assigned projects, and on time.  
  • Contribute to the design of research protocols and study implementation. 
  • Contribute to effective budget management and ensure compliance with donor requirements. 
  • Support staff recruitment in collaboration with the HR Manager.
  • Collaborate with the HR Manager to support development of annual performance objectives and appraisals for supervisees. 
  • Perform any other duties as delegated by the supervisor.

  • Qualifications and Experience 

 

Education

  • Bachelor’s and/or master’s degree in nursing, CHO, public health, medicine or related fields, business administration/project management, hospital management, biomedical sciences and other relevant disciplines.
  • Additional training or certification in project management or master’s in public health or hospital management will be an added advantage. 
  • Clinical trainer certification will be a plus.

Experience

  • Minimum 8 years of experience in program management, including grants management and project coordination.
  • Strong writing and communication skills, with experience producing policy briefs and high-quality reports.
  • Experience in qualitative donor report writing with a proven ability to secure donor funding. 
  • Familiarity with donor funding processes and grant writing/management (for World Child Cancer, JICA, UNFPA, DFID, and others).
  • Proficiency in data analysis and program monitoring.
  • Ability to work collaboratively in a multidisciplinary team.
  • Strong organizational and time management skills.
  • Previous and/or ongoing experience overseeing hospitals/clinics projects is key. 
  • Familiarity with the Sierra Leone development and/or humanitarian context is a plus. 
  • At least four years’ training experience.
