JOB DESCRIPTION

 

JOB TITLE Office Assistant
LOCATION Freetown, Sierra Leone
REPORTING AND  MANAGEMENTReports to the Senior Operations Officer and works closely with all staff,  service providers, maintenance personnel and visitors.
JOB SUMMARY This role sits within the forthcoming Leaders in Teaching (LiT) Sierra  Leone programme, a Government of Sierra Leone initiative to be  implemented by Lɛ Wi Lan (LWL), in partnership with Transforming  Teaching, Education and Learning (T-TEL) and other partners, with  funding support from the Mastercard Foundation.  

LWL is a Sierra Leonean-led organisation committed to advancing  education transformation nationally. Its vision is transformed education  for development in Sierra Leone, and its mission is to provide  educational technical assistance in close partnership with government  to promote quality education and inclusive growth. 

The Office Assistant is responsible for ensuring a clean, safe and  functional office environment. The role leads on office utilities, office  health and safety, office cleaning and maintenance, generator  management, and the execution of office errands. The post-holder  ensures that office facilities, supplies and utilities are well maintained to  support efficient operations.

ESSENTIAL JOB  

RESPONSIBILITIES  (Will include but  not be limited to)

1. Office Utilities and Facilities Management 

• Monitor electricity, water supply, and other office utilities. • Report and follow up on utility faults and maintenance needs. • Support maintenance of office furniture, equipment and facilities. 

2. Office Health and Safety 

• Support implementation of workplace health and safety standards. • Conduct routine checks to identify and report hazards. 

• Ensure fire extinguishers, first aid kits and emergency exits remain  accessible and functional. 

3. Office Cleaning and Maintenance 

• Lead and coordinate office cleaning activities. 

• Ensure workspaces, meeting rooms, kitchens, washrooms and  common areas are kept clean and orderly. 

• Monitor cleaning supplies and ensure timely replenishment. 

4. Generator Management 

• Operate and monitor the office generator in accordance with  organisational procedures. 

• Maintain generator operation logs and report servicing requirements. • Monitor fuel levels and support fuel replenishment arrangements.

 

5. Office Errands and Administrative Support 

• Receive and distribute mail, parcels and correspondence. • Support meeting preparations and other administrative tasks as  assigned. 

6. Other Duties 

• Undertake any other reasonable duties assigned by the Senior  Operations Officer.

CANDIDATE  

SPECIFICATION

• Ability to read, write and comprehend in English and Krio. • Previous experience in office support, cleaning, facilities management  or a similar role is an advantage. 

• Good communication and interpersonal skills. 

• Strong sense of responsibility, honesty and reliability. 

• Ability to follow instructions and work independently. 

• Basic record-keeping and organisational skills.
