BRAC Microfinance Sierra Leone Limited is the largest Microfinance organization in Sierra Leone with a mission to responsibly provide a range of financial services to people at the bottom of the pyramid. We particularly focus on women living in poverty in rural and hard-to-reach areas to create self-employment opportunities, build financial resilience, and harness women’s entrepreneurial spirit by empowering them economically.
BRAC Microfinance (SL) Limited is seeking applications from competent, dynamic, and self-motivated individual to fill up the following position.
Position : Administrative Officer
No of Position : One (1)
Job Location : Country Office
MAIN JOB RESPONSIBILITIES:
- Ensure administrative processes follow organizational policies and regulatory requirements.
- Support audits by preparing required administrative documentation.
- Enforce workplace health, safety, hygiene and security procedures.
- Organize events, workshops, and meetings, including logistics and materials.
- Liaise with service providers, contractors, and external stakeholders.
- Assist in preparing budgets, purchase requisitions, and payment requests.
- Consult with HR Head and Programme heads to identify program needs and issues and customize relevant HR interventions.
- Monitor administrative expenditures to ensure cost-effectiveness.
- Manage vendor relations and support procurement processes.
- Prepare, review, and manage correspondence, reports, and official documents.
- Ensure proper filing systems and document security.
- Facilitate staff welfare activities and administrative support to HR.
- Maintain accurate records, files, and databases (physical and electronic).
- Manage office supplies, stationery, equipment, and ensure timely replenishment.
- Oversee day-to-day office operations to ensure a well-functioning work environment.
REQUIRED SKILLS/ COMPETENCIES:
- Demonstrates strong office administration, organizational, and time management skills, with the ability to maintain accurate records and effectively plan and coordinate administrative activities.
- Possesses excellent written and verbal communication, customer service, and interpersonal skills, enabling productive collaboration with internal and external stakeholders.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and capable of managing multiple tasks while maintaining confidentiality, professionalism, and attention to detail.
- Applies sound problem-solving and decision-making skills, supports procurement and vendor coordination, manages events and logistics efficiently, possesses basic financial and budgeting knowledge.
- Adapts effectively to changing organizational priorities.
SAFEGUARDING RESPONSIBILITIES:
- Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
- Promote a safe work environment in all your dealings.
- Avoid actions, which may cause any form of harm, abuse, neglect, harassment and exploitation of team members to achieve the program’s goals on safeguarding.
EDUCATIONAL REQUIREMENTS AND EXPERIENCE
- Bachelor’s degree in business administration or related field.
- 3–5 years’ experience in administrative roles.
- Proven experience in office administration, facilities and asset management, procurement coordination, fleet management, travel and logistics coordination, and vendor management.
- Experience in preparing administrative reports, maintaining records, managing budgets, and supporting organizational events.
- Demonstrated ability to work independently, manage multiple priorities, and maintain confidentiality while delivering high-quality administrative support.
- Knowledge of occupational health and safety standards and administrative compliance requirements is an added advantage.
