• Carrying out the day-to-day operations of the administrative department and staff members. • Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained. • Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses. • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, annual awards and training sessions. • Collecting, organizing, and storing information using computers and filing systems • Plan, coordinate and manage all administrative procedures and systems • Manage schedules and deadlines • Purchase new material as needed • Adhere to policies and regulations • Keep abreast with all organizational changes and business developments
• Carrying out office activities and operations to secure efficiency and compliance to organization policies • Keep stock of office supplies and place orders when necessary • Manage agendas ,travel arrangements and make appointments for the upper management • Manage phone calls and correspondence (e-mail, letters and packages.) • Create and update records and databases with personnel, financial and other data • Track stocks of office supplies and place orders when necessary • Submit timely reports and prepare presentations as assigned • Assist colleagues whenever necessary
• Understanding how the NGO works in practice • Keeping accounts, including supporting documents and book-keeping records. (Tracking restricted funds received from each donor separately.) • Manage the weekly cheque run • Record all cheques • Prepare manual cheques as and when required • Handling of Petty Cash • Assist with the office operation
• Receive reports and returns on field activities and submit to required authority. • Assist in the implementation of the plan of action, review achievements and constraints and provide feedback accordingly; Follow up to ensure that all reports to be prepared and submitted by the field staff and implementing partners are done accurately and submitted on a timely basis. • Receive report periodically on relevant events regarding food management, distribution and other related issues • Identify potential problems in the program and discuss remedial action with appropriate personnel.
