General mission | The Administrative and Finance Assistant will assist the Administrative & Financial Officer (AFO) and Project Coordinator (PC) in the Financial and administrative activities of the Free TB project in Bo District |
Assignment
Tasks and responsibilities
- Accountancy / Cash-Flow Management
Cashbox management using the encoding spreadsheet (in & out, follow-up sheet, regular inventories to be signed by PC.
Weekly cash count of petty cash with PC
Follow-up of advances made for payments and any purchases.
Check all invoices/receipts (quality and the exhaustive information), prepare & encode the Disbursement Request to be submitted to PC and AFO, and ensure payments at the district level
Perform the encoding of petty cash box accounting documents, computerizing on Excel, Scanning, classifying, and archiving all vouchers/invoices/receipts.
Present to the PC and AFO requests of cash according to monthly forecasted expenditures.
2. Administration :
Ensure the “admin-log report” presents an updated and accurate view of Solthis administrative commitments.
Collaborate with the Project Coordinator, National Logistics, and the Administrative and Financial Officer on the organization of training: distribution of DSA and transportation expenses, attendance lists …
Work in close collaboration with the National Logistics to ensure compliance with Solthis procedures in terms of procurement.
Assist the AFO in drafting contracts and ensure contractual commitments follow-up (Insurance, Dwelling, Internet, Maintenance etc…) and inform AFO/PC of relevant deadlines Assist the Project Coordinator in filing contractual documents for the office.
- Communication and reporting
Participate in collaboration with the AFO of the elaboration of monthly reports (documents/spreadsheets)
Provide information to AFO for the preparation of the monthly report (Cash-flow report) Participate in the elaboration and implementation of Solthis administrative tools and procedures.
Qualifications (KNOW HOW)
Education/Training
- Bachelor’s degree in administration and finance
Experience
- Minimum 2 years of similar professional experience in a similar position with an INGO or UN agencies
Technical skills
- Excellent communication, presentation, and interpersonal skills in English • MS Office proficiency and working knowledge of SAGA software and Administrative and accounting-related
