| JOB TITLE | Administrative Officer |
| LOCATION | Freetown, Sierra Leone, with regular travel to districts, schools, partner offices and government institutions as required. |
| REPORTING AND MANAGEMENT | Reports to the Operations Manager. Works closely with the Senior Operations Officer, Information Technology Officer, Administrative Assistant, fleet team, finance, Human Resources, Monitoring, Evaluation, Research and Learning, programme teams, district teams, implementing partners and Accountability, Transparency, Accountability and Effectiveness support functions to ensure efficient administrative and operational support across Lɛ Wi Lan (LWL) and the Leaders in Teaching (LiT) Sierra Leone programme. |
| JOB SUMMARY | This role sits within the forthcoming Leaders in Teaching (LiT) Sierra Leone programme, a Government of Sierra Leone initiative to be implemented by Lɛ Wi Lan (LWL), in partnership with Transforming Teaching, Education and Learning (T-TEL) and other partners, with funding support from the Mastercard Foundation. LWL is a Sierra Leonean-led organisation committed to advancing education transformation nationally. Its vision is transformed education for development in Sierra Leone, and its mission is to provide educational technical assistance in close partnership with government to promote quality education and inclusive growth. The Administrative Officer is responsible for supporting the efficient administration of office operations, logistics, facilities, travel, workshops, records management and routine operational systems. The post-holder helps ensure that administrative processes are delivered efficiently, accurately and in compliance with organisational policies and donor requirements, enabling effective programme delivery at national and district levels. |
| ESSENTIAL JOB RESPONSIBILITIES (Will include but not limited to-) | ADMINISTRATION AND OFFICE MANAGEMENT – Support day-to-day office administration, filing systems, correspondence, records management and document control. – Maintain administrative trackers, calendars, contact databases and office records. – Coordinate meeting logistics, venue bookings and office support services. LOGISTICS, FLEET, TRAVEL AND EVENT SUPPORT – Lead fleet and fuel management, including vehicle scheduling, fuel tracking, trip planning and maintenance coordination. – Coordinate the distribution of materials from Freetown to districts |
| and schools, ensuring timely delivery, accurate documentation and proper handover. – Manage local and international travel arrangements, including accommodation bookings, movement plans, itineraries and supporting documentation. – Support logistics for workshops, trainings, meetings and field activities. – Maintain travel, fleet, fuel, distribution and activity records and supporting documentation. FACILITIES, ASSETS, INVENTORY AND HEALTH AND SAFETY – Support management of office facilities, supplies and equipment. – Serve as office health and safety focal point, helping to maintain a safe, secure and compliant working environment. – Maintain asset registers, inventory records and stores documentation. – Assist with procurement and receipt of goods and services. COMPLIANCE AND RECORDS MANAGEMENT – Ensure administrative records are complete, accurate and auditable. – Support compliance with organisational policies and procedures. – Maintain confidential personnel and operational records appropriately. SAFEGUARDING, INCLUSION AND DUTY OF CARE – Support safe, accessible and inclusive arrangements for meetings and activities. – Promote safeguarding, gender equality and disability inclusion in administrative processes. REPORTING AND OTHER DUTIES – Prepare administrative updates, trackers and reports as required. – Undertake any other duties reasonably assigned by the Operations Manager. | |
| CANDIDATE SPECIFICATION | – Degree in Business Administration, Public Administration, Management or related field. – At least 5 years of experience in administration, office management or operations support. – Experience supporting workshops, travel, meetings and logistics. – Strong organisational, record-keeping and multitasking skills. – Proficiency in Microsoft Word, Excel, PowerPoint and digital collaboration tools. – Excellent communication skills in written and spoken English. – Strong attention to detail, integrity and ability to work with minimal supervision. – Commitment to safeguarding, gender equality, disability inclusion and confidentiality. – Willingness to travel within Sierra Leone as required. |
