INVITATION TO SUBMIT PROPOSALS

QuickBooks Setup, Configuration, Training and Technical Support Services

LƐ Wi Lan (LWL) invites qualified and experienced firms or consultants to submit proposals for the provision of QuickBooks Setup, Configuration, Training and Technical Support Services.

About LƐ Wi Lan

LƐ Wi Lan is a Sierra Leonean-led organisation committed to advancing educational transformation across Sierra Leone. To strengthen its financial management processes and improve the efficiency, accuracy and reliability of financial reporting, LWL intends to implement QuickBooks as its accounting software platform.

Scope of the Assignment

The selected service provider will be responsible for:

  • Assessing LWL’s accounting and reporting requirements and recommending an appropriate QuickBooks solution.
  • Installing, configuring and customising QuickBooks, including chart of accounts, project and donor reporting structures, cost centres, user roles and access controls.
  • Migrating approved opening balances and agreed historical data, where applicable.
  • Supporting testing, go-live activities and system deployment.
  • Providing practical user and administrator training.
  • Offering post-implementation technical support and troubleshooting.
  • Developing backup, recovery and system administration documentation and undertaking a complete handover to LWL.

Eligibility Requirements

Interested firms/consultants should demonstrate:

  • Proven QuickBooks implementation and support experience.
  • Experience supporting NGOs, non-profit organisations and donor-funded programmes.
  • Expertise in data migration, user training and financial system configuration.
  • Availability to provide responsive remote and/or on-site technical support.
  • At least three relevant client references.
  • Strong data protection, confidentiality and information security practices.

  • Company/consultant profile
  • Understanding of the assignment and methodology
  • Relevant experience and references
  • Proposed personnel and qualifications
  • Work plan and implementation schedule
  • Training and support approach

Financial Proposal

  • Detailed cost breakdown for implementation and configuration
  • Data migration costs (if applicable)
  • Training and support costs
  • Software/licence costs (if applicable)
  • Applicable taxes and total contract value

Assignment Duration

The implementation phase is expected to be completed by 8th October 2026. Post-implementation technical support will be provided from 12th October 2026 to 31 March 2027.
